INTRASTAT from WAPRO Mag: declarations from a monthly CSV export

WAPRO Mag, like other ERP systems running on-premise, does not file INTRASTAT declarations and offers no API for external services. The simplest route to automation is a monthly export of the sales and purchase registers to a CSV or Excel file — uploaded to intrafakt.pl.
The export takes a few minutes, columns are recognised automatically by their headers, and CN classification plus the rest of the process runs on our side.
How to export the data from WAPRO Mag
You export once a month — ideally by the 5th of the month following the reporting period. With turnover in both directions there are two files: EU sales (dispatches) and EU purchases (arrivals).

Open the document register
Magazyn → Sprzedaż → Rejestr sprzedaży (for dispatches) or Zakup → Rejestr zakupu (for arrivals).

Set the filters
Date range: first–last day of the previous month. Contractors: all EU countries except Poland.

Export all line items
Choose the export of all document line items (not just headers) — each invoice line is one row. Format: CSV (semicolon) or Excel (.xlsx).

Upload the file in the intrafakt.pl panel
Invoices → Import, pick the direction (sales/purchases) and select the file. The system shows a preview of the recognised rows before you confirm.
Which columns the file needs
Column order is free, and headers are recognised in many Polish and English variants. The required minimum:
- invoice number — the sales or purchase document number
- country code — the contractor's two-letter country code (DE, FR, IT…)
- sale date — the sale/purchase date (DD.MM.YYYY or YYYY-MM-DD)
- item name, quantity, gross price — the line-item data
- Recommended in addition: the contractor's VAT number with prefix, currency, product code (the WAPRO index)
What does NOT need to be in the file
CN code, net weight, country of origin, transport mode and delivery terms are not needed in the export — we fill those in from the product registry (index → CN code + weight mapping), built together once during onboarding. After that you upload only the invoices each month.

What happens after the import
The system joins the rows with the product registry, converts currencies at the applicable NBP rate, aggregates lines by CN code and prepares the declaration in the online INTRASTAT software. Our team verifies it and files it in PUESC on your behalf before the 10th-of-the-month deadline. We answer for the proper performance of the service on the terms of the cooperation agreement.

Frequently asked questions
My export contains only invoice headers, no line items. What now?
Use the detailed VAT register report or a custom report with a line-item list. If that doesn't work in your version, write to us — we help configure a suitable report during onboarding.
Where does the system get CN codes if WAPRO doesn't have them?
From the product registry in intrafakt.pl: during onboarding we map each product index to an 8-digit CN code and weight, once. Subsequent imports use the mapping automatically.
How often do I upload files?
Once a month, after month close — ideally by the 5th, leaving room for verification before the filing deadline on the 10th.
Should I export correction invoices too?
Yes — corrections belong in the file (a correction flag and the corrected invoice number, where available). We net them in the correct reporting period.
